Who we are
Copixel is a dental marketing agency based in London, UK. We run Google Ads and Meta Ads for private dental practices. Copixel is the trading name of Admos AI Ltd, a private limited company registered in England and Wales (company number 16574406). Registered office: 82a James Carter Road, Mildenhall, IP28 7DE. Admos AI Ltd is the data controller for the personal data described here. This privacy policy explains how we collect, use, and protect your personal data when you visit our website or use our services.
Data we collect
We collect information in the following ways:
- Requesting an ad review: We collect your practice name and email address to prepare and send the review and reply to your request. This does not subscribe you to a mailing list. Please do not submit patient information or medical details.
- Booking a call: When you book a call with us via Calendly, we collect your name, email address, and any details you choose to provide.
- Analytics: We use Google Analytics to understand how visitors use our site: pages visited, time on site, and general location (country/city level).
- Advertising measurement:With your separate advertising consent, Google Ads, LinkedIn and Meta receive campaign and device information for measurement and personalised advertising. A confirmed Calendly booking can be recorded as a conversion. Google and LinkedIn do not receive your name, email or booking answers in that event. Meta receives the booking from your browser and from our server, with your IP address, browser details and Meta's own cookie identifiers; we may also send your email address in hashed form so Meta can match the booking to an ad. Meta never receives your name or booking answers.
- Security and preferences: Hosting logs and temporary request limits help protect the site. Your cookie choice is stored in your browser.
How we use your data
We use your personal data to:
- Respond to your enquiries and provide our services
- Schedule and conduct calls via Calendly
- Improve our website and understand user behaviour
- Send service-related communications
We do not sell your personal data to third parties.
We handle enquiries and bookings to respond to your request and take steps towards providing a service. We rely on consent for optional analytics and advertising, and legitimate interests for proportionate security and administration.
Third-party services
We use the following third-party services that may process your data:
- Google Tag Manager: Loads our analytics and advertising tags, only after you make a cookie choice, and runs each one only with the consent it needs.
- Google Analytics & Google Ads: Website analytics and advertising measurement, according to your choices.
- Calendly: Appointment scheduling. When you open the booking calendar, Calendly loads on your request and applies its own privacy and cookie controls. Booking does not require accepting our optional analytics or advertising cookies.
- Resend: Delivers ad-review requests to our inbox so we can reply. Your practice name and email are included.
- LinkedIn Insight Tag: Conversion tracking and audience analytics. Only activated with your consent.
- Meta Pixel and Conversions API: Measurement of our Facebook and Instagram ads, and audiences for them, loaded through Google Tag Manager, with bookings also sent from our server. Only activated with your advertising consent.
- Vercel: Website hosting.
- Upstash: Stores a hashed request identifier and count for up to 24 hours to limit repeated form submissions. It does not receive your practice name or email for this purpose.
These providers may process data outside the UK or EEA. Their privacy notices explain their processing and international-transfer safeguards: Google, LinkedIn, Meta, Calendly, Resend and Vercel, and Upstash.
Cookies
We use cookies on our website:
- Necessary browser storage: Remembers your privacy choice for up to 180 days. It is not used for advertising.
- Advertising cookies: Support Google Ads, LinkedIn and Meta measurement and personalised advertising. These are only enabled when you choose Advertising or Accept all.
- Analytics cookies: Help us understand how visitors use our site. These are only set with your consent.
Both optional categories are off by default. You can reject them, choose each separately, or change your mind using Cookie settings in the footer. Withdrawing consent stops future tracking on this site and clears accessible first-party tracking cookies; it does not undo earlier lawful processing or remove cookies belonging to other websites.
Your rights (GDPR)
Under UK and EU data protection law, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to processing of your data
- Request data portability
- Withdraw consent at any time
To exercise any of these rights, please contact us at hello@copixel.ai.
Data retention
We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Booking and enquiry details are retained for up to 2 years. Cookie choices expire after 180 days. Analytics and advertising records follow the retention settings of the relevant provider account; contact us for the settings that apply to your data.
You may also complain to the Information Commissioner’s Office, or your local data protection authority.
